Reporting and Resolution of Potholes

Potholes on UpCity streets pose safety hazards and vehicle damage risks; article explains reporting and resolution process.

Issue: Potholes are common forms of road surface damage that can develop on UpCity streets due to various factors, including weather conditions and traffic wear. These can pose safety hazards to drivers, cyclists, and pedestrians, potentially causing damage to vehicles. UpCity is dedicated to maintaining safe and accessible roadways for all its citizens.
Purpose: This article details the process for UpCity citizens to report potholes, outlines the essential information required for an efficient response, and explains UpCity's typical resolution process for road surface damage.
Required Information for Reporting a Pothole:
To ensure UpCity's road maintenance crews can efficiently locate and address potholes, please provide the following crucial information when making a report:
Exact Location:
    ◦ Specific Address: The precise street address or nearest building number to the pothole.
    ◦ Cross Streets: The two closest intersecting streets.
    ◦ Landmarks: Any identifiable landmarks nearby (e.g., "in front of the UpCity Public Library," "near the Central Park entrance").
    ◦ Lane/Side of Road: Specify which lane (e.g., "eastbound lane," "middle lane") or side of the road (e.g., "north side of Main Street").
Pothole Size and Depth:
    ◦ Provide an approximate estimate of the pothole's dimensions (e.g., "about 3 feet wide and 6 inches deep," "basketball-sized and shallow," "large enough to cover a tire"). This helps determine the urgency and resources needed for repair.
Hazard Description:
    ◦ Describe any immediate safety concerns or impact the pothole is causing. For example:
        ▪ "Vehicles are actively swerving to avoid it."
        ▪ "It's causing significant traffic obstruction."
        ▪ "It has already caused vehicle damage (e.g., a flat tire)."
        ▪ "It's located in a high-traffic area, increasing risk for accidents."
Date/Time Noticed:
    ◦ Please indicate when you first observed the pothole or when it became particularly problematic.
Supporting Evidence:
    ◦ If possible, please be prepared to share photos or videos of the pothole. Visual evidence greatly assists our assessment and repair planning.
Reporting Process:
UpCity citizens can report potholes through the following official channels:
1. UpCity 311 Online Portal (Chat/Web Form): Visit the UpCity 311 website to use our chat service or fill out a dedicated road hazard report form.
2. UpCity 311 Phone Line: Call 311 during operational hours to speak directly with an UpCity Service Representative (CSR).
Resolution Process and Timelines:
1. Case Creation: Once a pothole is reported, a service request (case) is automatically generated in UpCity's system, pre-populated with the details you provide. This automation is handled by the Case Management Agent.
2. Assessment: UpCity road maintenance crews will assess the pothole based on its reported location, size, depth, and the described hazard level.
3. Prioritization: Potholes are prioritized based on factors such as safety risk, traffic volume, and potential impact. High-hazard potholes (e.g., those causing traffic obstruction or vehicle damage) receive expedited attention.
4. Repair: Crews will be dispatched to perform either temporary or permanent repairs as appropriate pothole repair.
5. Follow-up & Closure: You will receive updates on the status of your report. If UpCity initiates contact to confirm resolution via email, and you respond to confirm the issue is resolved, the Case Management Agent can then suggest to the CSR that the case is ready for closure, potentially pre-populating resolution details.
Important Notes for UpCity Citizens:
Always prioritize your safety when observing or reporting potholes. Do not stop in unsafe traffic conditions.
Repair timelines can vary depending on weather conditions, crew availability, and the severity and number of active potholes requiring attention across UpCity.
